Keeping Kapi Works safe

Illegal content, reports and complaints. This part of the Kapi Works Terms applies to everyone who uses Kapi Works, people answering forms included.

Version 1, 4 November 2026

S1. Who this part is for

This part applies to everyone who uses Kapi Works: organisations, their teams, the people they invite, and anyone who opens a form, books, joins a queue or takes a quiz, with or without an account. It also tells anyone affected by something on Kapi Works how to report it and complain. KAPILEARN LIMITED ("Kapi", "we", "us") provides Kapi Works, including studio.kapiworks.com, learn.kapiworks.com, forms.kapiworks.com and the addresses organisations use for their forms.

S2. What you must not do

Do not use Kapi Works to share, ask for or collect anything illegal, or to commit or help anyone commit a crime. In particular, do not use it for:

  • terrorism, or anything run by or for an organisation banned under UK terrorism law;
  • child sexual abuse or exploitation, including images of children and contacting a child for sexual purposes;
  • sharing an intimate image of someone without their consent, or threatening to;
  • fraud, such as pretending to be another organisation or person, asking people for passwords, sign-in codes, card or bank details or identity documents, or taking money for events, goods or appeals that are not real;
  • threats, harassment, stalking, abuse or hate;
  • selling or supplying drugs, weapons or other illegal goods, or people smuggling or trafficking;
  • encouraging or helping someone to end their life or seriously harm themselves;
  • anything else that is illegal in the UK.

S3. How we protect people from illegal content

Before anything reaches the public:

  • An organisation can publish only after the person publishing confirms their email address. On the free plan the organisation also adds a card through our payment provider, which we do not charge. One card, and one person, can each start one free organisation.
  • We check the words of every form, with its booking and payment notes, when it is published, and the words of invitation notes and messages to people booked when they are sent. We refuse words that ask for passwords, sign-in codes, recovery phrases, card or bank details, identity documents or a Kapi sign-in. S7 explains how.
  • On the free plan, forms do not take files, recordings or documents from the people who answer them.
  • We keep forms out of search engines, so people find them through the organisation's own links.

While content is on Kapi Works:

  • We refuse typed answers that contain a card number.
  • Every form, a queue's joining page included, and every booking, ticket, waitlist and shared results page, has "Report this form". Anyone can report anything else to us (S8).
  • We look at reports and act on illegal content as S4 to S6 say.

S4. Taking down illegal content

When we learn of content that may be illegal, from a report or in any other way, we review it, and if it is illegal we take it down swiftly. We aim to review every report within one working day, and reports of terrorism, child sexual abuse or intimate images sooner.

  • Terrorism content. We take it down as soon as we are aware of it. We close the form or account it came from, and remove any organisation or account run by or for an organisation banned under UK terrorism law.
  • Child sexual abuse content. We take it down as soon as we are aware of it, and close the account or organisation responsible. We report it to the National Crime Agency, as the law requires, and keep it securely only as long as the law requires.
  • Other illegal content, such as fraud, threats, hate or the sale of illegal goods: we take it down swiftly once we judge it illegal. If a form tries to trick people into giving passwords, payment details or other sign-in details, we also pause all of that organisation's forms.

Depending on what we find, we may also close a form, pause all of an organisation's forms, or warn, suspend or close an account or an organisation. We tell the organisation's owners and admins, or the person concerned, what we did, why, and how to complain. We keep a record of each decision and why we made it. Where the law requires or allows, we share information with the police, the National Crime Agency or Ofcom.

S5. If your organisation receives illegal content

If an answer, a file or a message your organisation receives through Kapi Works may be illegal, such as threats, abuse or a sexual image of a child:

  • do not copy, download or forward it;
  • tell us at once at support@kapiworks.com, with "Report" in the subject, naming the form and the answer's date and time;
  • do not delete it until we reply, unless we take it down first. We may have to keep a copy to report it to the National Crime Agency.

S6. Intimate images shared without consent

If Kapi Works has an intimate image of you that was shared without your consent, or you act for the person it shows, email support@kapiworks.com with "Intimate image report" in the subject. Please include:

  • a statement that the image is an intimate image of that person, shared without their consent;
  • a statement that you are that person, or that you are acting for them;
  • a statement that you are reporting in good faith and that what you tell us is true to the best of your knowledge;
  • enough for us to find it, such as the address of the form or page, or the organisation's name and where the image appears;
  • how we can contact you.

We take the image down as soon as we reasonably can, and within 48 hours of receiving your report. We also take down copies of it that we find. We do not take it down if we consider that it is not an intimate image of that kind, or that you are not the person shown and not acting for them. Then we tell you why, and you can complain. A complaint about an intimate image report is handled first (S10).

S7. Technology that checks content

We use these automatic checks:

  • Word checks. A kind of keyword matching. We use it when an organisation publishes a form, or sends an invitation or a message to people booked. It compares the words, in the form's language and in English, with lists of words that ask for passwords, sign-in codes, recovery phrases, card or bank details, identity documents or a Kapi sign-in, after removing hidden characters and turning look-alike letters into the letters they copy. A match stops the form or message until the words change. English words about health, disability, pregnancy, diet, religion, ethnicity, politics, sexual orientation, trade unions or crime show the organisation a warning, but do not stop it.
  • Card number check. When someone sends an answer, we look in what they typed for 13 to 19 digits that pass the check card numbers use. An answer that contains one is refused, and the person is asked to remove it.
  • Spam check. Cloudflare Turnstile checks whether a person or an automated program is using the page when someone signs up, sends a form, reports, saves answers to finish later, asks for a code, holds places, books, joins a waitlist or a queue, or opens a results link with a password. It uses the person's IP address and signals from their browser. We keep nothing from it.
  • Limits. We limit how often one network address can do certain things on a form each minute, such as starting a quiz, sending files, holding places or joining a queue.
  • Spam flags. Answers sent much faster than the form can be read, or many from one email address, are marked as possible spam for the organisation. Nothing is deleted.
  • Volume checks. We are told when a form or an organisation gets an unusual number of answers in an hour. Nothing is refused.
  • Kapi's AI, when drafting forms. When an organisation asks Kapi's AI to draft or change a form, it does not write questions that ask for passwords, card numbers, bank details, identity numbers or a child's details.

A person at Kapi looks at every report. These checks do not by themselves close a form, pause an organisation or close an account.

S8. How to report

Anyone can report content they think is illegal, with or without an account:

  • on a form, or on a booking, ticket, waitlist or shared results page: use "Report this form", choose a reason and tell us what is wrong;
  • anything else, such as a course, a page, a message or an answer someone sent your organisation: email support@kapiworks.com with "Report" in the subject;
  • an intimate image: see S6.

Tell us what the content is, where it is, and why you think it is illegal. You may give an email address if you want a reply. We look at every report, and if you gave an address, we tell you what we decided.

S9. What you can complain about

You can complain to us if:

  • you think content on Kapi Works is illegal;
  • you think we are not doing what the law asks of us about illegal content, reporting or complaints, or not taking proper account of freedom of expression or privacy when we keep Kapi Works safe;
  • we took down or restricted something you or your organisation put on Kapi Works because we judged it illegal;
  • we warned, suspended or closed your account or organisation, or paused its forms, because of content we judged illegal;
  • one of our automatic checks (S7) took down or held back your form, message or answer in a way you think these terms do not allow.

S10. How we handle complaints

Email support@kapiworks.com with "Complaint" in the subject. Say what happened and what you would like us to do. You do not need an account. If we told you of a decision by email, that email also says how to appeal.

  • We confirm we have your complaint within 2 working days, and decide within 10 working days. If we need longer, we tell you why and when to expect our answer.
  • If you made an intimate image report and you complain about that image, we deal with your complaint first, and aim to decide within 24 hours.
  • We treat a complaint about content you think is illegal as a report (S4).
  • Someone who did not make the first decision looks at an appeal against it.
  • We tell you what we decided and why.
  • If we got it wrong, we put the content back, lift the pause or restriction, and look at what led to the mistake, including our automatic checks.
  • If you think one of our automatic checks was used in a way these terms do not allow, you may also have the right to go to court for breach of contract.
  • We may not act on a complaint that is clearly unfounded, such as one that repeats a complaint we have already decided without anything new. If so, we tell you.

Until we decide an appeal against a takedown, the content stays down and a closed form stays closed.

S11. Freedom of expression and privacy

When we make and apply these rules, we take particular care to protect people's freedom of expression within the law, and their privacy, including how we use their personal data. Our privacy notice at kapiworks.com/privacy explains how we use personal data in reports and complaints.

S12. The same rules for everyone

We apply this part in the same way to every organisation and every person, whatever their plan.

S13. Finding this part

This part is linked from the top of the Kapi Works Terms, which an organisation agrees to when it signs up; from the foot of every page on kapiworks.com and forms.kapiworks.com, Kapi's own pages there included, such as Report this form; and from our emails to an organisation when we close one of its forms, pause its forms or take down an answer or a file. If you need it in another format, email support@kapiworks.com.

S14. Forms are for adults

Kapi Works is for adults. Do not publish a form for children to fill in themselves or ask for a child's name, age, school or health.
